Using contact fields in emails

With contact fields you add specific details about your recipients directly to your emails, such as the first name in the salutation or the name of the associated account manager.

What are contact fields?

Contact fields are fields you have imported with your contacts, or that have automatically come in via a webshop integration. Examples:

  • First name
  • Last name
  • Email address
  • City
  • Date of birth

Go to All contacts in the left menu and select a contact to see which fields are available in your account.

Adding extra contact fields

You can add extra fields via:

  • Manual entry: adding individual contacts.
  • CSV and Excel import: uploading large lists.
  • Webhook: importing contacts from forms or pop-ups, or syncing with your systems.
  • Webshop integration: automatically importing via WooCommerce, Shopify, Magento 2, Lightspeed or a custom webshop.

Adding contact fields in the editor

  1. Open an email under Drafts or in an Email automation.
  2. Type { in the editor to open the list of available fields.
  3. Keep typing to filter the list by your search term. Filtering is case-insensitive. If no field matches, the list disappears.
  4. Select the desired field (e.g. {first_name}). The field gets a purple highlight when it has been added correctly.

You can also use contact fields in the sender name, the sender email address, the subject line and the preheader.

Setting fallback values

If you use a contact field as a placeholder, set a fallback value via the field mappings. If that fallback value is missing, you will receive a warning when sending. You can still send the email, but recipients without a value for that field will see a blank space.

Setting default values (fallback)

If a contact field is empty and no fallback value has been set, the email won't be sent. This prevents emails with incorrect or missing information from going out.

Set fallback values like this:

  1. Go to Settings in the left menu.
  2. Choose Email settings.
  3. In the submenu, choose Default values.
  4. Scroll to the field you want to set a default value for.
  5. Enter a value, for example customer as a fallback for the first name field.
  6. Click Save in the top right.

Example: if no first name is known for email@domain.com, the greeting Hi {first_name} automatically becomes Hi customer.

Showing personalized products

With product blocks you show contacts the most relevant products for them, pulled directly from your webshop. Xendy determines which products are shown based on the rules you set.

Adding a product block

  1. Click one of the purple plus icons in the email editor to add a new block.
  2. Choose a block under Products.

Selecting products

  • Manual selection: pick specific products yourself.
  • Dynamic products: let Xendy automatically select based on:
    • Purchased products: products the customer bought before.
    • Upsells and cross-sells: complementary or related products.
    • Category-specific recommendations: best-selling products from a specific category.

Customizing the display

  • Choose whether to show the name, price, and a button with a link.
  • Set the number of columns and rows.
  • Choose whether product names are truncated to one line.
  • Set the appearance of the button.

Note: if no relevant products are found for a contact, the email won't be sent.

Requirements

  • A connected webshop (WooCommerce, Magento 2, Shopify, Lightspeed, or custom via JSON import).
  • Well-maintained product data: make sure every product is linked to the right category and that upsells/cross-sells are filled in where available.

Displaying personalized images

With personalized images, you display a unique image per contact, for example a banner or discount image whose URL is stored in a contact field.

How to set it up:

  1. Add an Image block in the email editor and click Choose image.
  2. In the pop-up, select the Contact field tab.
  3. Enter the name of the contact field between curly braces, for example {banner_url}, and click Add contact field.

When sending, Xendy retrieves the image for each contact from that field. Make sure the field is filled in for your contacts with a complete, working image URL.
