Send a newsletter from the editor or drafts list

You have two ways to send or schedule a newsletter:

Option 1: from the drafts list

  1. Click Drafts in the left menu.
  2. Find the draft you want to send.
  3. Click the three dots to the right of the draft.
  4. Choose Send now (immediately) or Schedule (later).

Option 2: from the email editor

  1. Click Drafts in the left menu.
  2. Open the email by clicking its name.
  3. Click the Send button in the top right.
  4. Choose Send (immediately) or Schedule (later).

In both cases, a pop-up appears where you select the segment. Before you can send, Xendy runs a number of checks on the content of your email.

Blocking checks (red) Some issues block sending entirely, such as a missing button link, no button label, a missing image, a product block without product logic, or a product block without SKUs. As long as any of these issues are present, you cannot send the email. You'll see this as a red block in the pop-up.

Warnings (non-blocking) In addition to the blocking checks, there are also warnings that don't stop you from sending, but are worth reviewing:

  • Placeholders without a fallback value: if your email contains {placeholder} tokens for which no fallback value has been set in the field mappings, you'll receive a warning. Xendy checks not only the email content itself, but also the subject line, preheader, sender name, and sender email prefix. The placeholders company_name and year are never flagged as an issue. The warning shows the names of the affected placeholders.
  • Product blocks that return no products: if a product block with product logic currently returns zero products, you'll see a warning with the name of the relevant logic.
  • Email contains no content: if your email technically has content, but that content consists only of empty space, the message "The email does not yet contain any content (empty space only)" will appear. In that case, check whether you've added the correct content to your email.

With warnings, you can still click send, but it's a good idea to first verify that everything is correct.

Choosing the right segment

After clicking Send or Schedule, you'll see a pop-up with a dropdown to choose who you're sending the email to.

  • All contacts (default) – everyone, except blocked contacts (unsubscribes, bounces, and excluded contacts).
  • Manual segment – contacts you've specifically added to a list, for example via manual addition, CSV/Excel upload, or a form on your website.
  • Dynamic segment – contacts are automatically determined based on filter rules, such as customers from a specific city or who recently made a purchase.

Send immediately or schedule

After choosing a segment, you decide at 'When do you want to send the email?' whether to send the email immediately or schedule it.

Schedule

  1. Choose Schedule and set the date and time of sending.
  2. Review the summary: chosen email, segment and scheduled send time.
  3. Hold the Schedule email button for 5 seconds to confirm. The email is now in the queue.

Send immediately

  1. Choose Send immediately.
  2. Review the summary.
  3. Hold the Send immediately button for 5 seconds to confirm. Xendy will start sending right away and tracking the results.

Managing scheduled newsletters

Scheduled emails can be found under Scheduled in the left menu.

To cancel a scheduled email:

  1. Go to Scheduled in the left menu.
  2. Find the email you want to cancel.
  3. Click the three dots next to it.
  4. Choose Cancel send.

The email will be removed from the schedule and won't be sent. It will move back to Drafts, where you can make changes and reschedule it.

Once the scheduled send time is reached, the email automatically moves from Scheduled to Sent.

Email stats after sending

After sending, you'll find the email under Sent in the left menu. Xendy tracks the following stats in real time:

Not directly. Cancel the email under Scheduled, make your changes in Drafts, and then reschedule it.

Yep! Create a manual segment with just your own email address and select that segment when you click Send in the editor or via the three dots next to the draft.

Nope, as long as the number of contacts stays within the limits of your subscription, you can send to any number of recipients.

Totally. Go to Sent, click the three dots to the right of the email, and choose Duplicate to draft.

Manual segments only change when you add or remove contacts yourself. Dynamic segments are rule-based and update automatically as contacts meet or no longer meet the conditions.
