Business details

At the top you'll find two required fields:

  • Company name: the name of your business, visible in emails and invoices.
  • Account email address: the main address that communication from your Xendy account is sent to.

Below that are three documents you can open, read and agree to:

  • Terms and conditions
  • Privacy policy
  • Data processing agreement

The date you give your consent is automatically saved and displayed.

Users

Managing users

Under the Users tab you can see everyone with access to your account. Click the three dots on the right next to a user to:

  • Change access rights: choose a role — 'Employee', 'External user' or 'Owner'.
  • Remove user: access is revoked immediately.

Then click Update to save the change.

Managing invitations

Under the Invitations tab you can see all pending invitations. Via the three dots on the right you can:

  • Resend: the invitation is sent again.
  • Delete: the invitation is revoked.

Inviting a new user

Click Invite user in the top right. Fill in the first name, email address and role, then click Send. The invited person will receive an email with an activation code. Once they've entered it, the user gets access to the account.

Subscription and invoices

Subscription

Under Subscription you can see the details of your current plan:

  • The amount per month
  • The payment method
  • The contact limit

From this overview you can:

  • Cancel: you can still use Xendy until the end of your current subscription period. After that, your subscription will automatically stop and you will no longer be able to send emails.
  • Upgrade: choose a larger plan with a higher contact limit and unlimited emailing.
  • Change billing details: update your payment method, billing address, or billing email address.

Invoices

Under Invoices you'll find all your invoices from October 22, 2025 onwards. For each invoice you can see the invoice number, invoice date, amount, status (such as 'Paid', 'Pending', or 'Outstanding') and a button to view the invoice.

Please note: if you have 2 or more outstanding invoices, your account will be temporarily locked and no emails will be sent.

Invoices from before October 22, 2025 can be requested via support@xendy.me.

Email settings

Theme

Determine the look of your emails: set the font for headings and body text, and the style of buttons (color, shape, padding). Everything you set here is automatically applied to all your emails — saving you time and ensuring a consistent brand identity.

Social media

Add links to your social media accounts: Facebook, Instagram, X, TikTok, YouTube, Pinterest, LinkedIn and WhatsApp — or add your phone number, email address or website. When you use a social media block in an email, you choose which icons to display. If you update a link in the settings later, all emails are automatically updated.

Domain

Set the email address you want to send from, for example info@companyname.com. You can see the domain name and validation status; Xendy periodically checks your DNS records and shows when the last check was performed. Using the three dots on the right, you can change the domain name or view the DNS records. You can also download the DNS settings to forward to your web developer or hosting provider.

Default values

Set fallback texts for dynamic fields such as @firstname. If a contact has no value for a specific field, Xendy uses the default value you enter here. Leave the field empty? Then the email will not be sent to that contact.

Example: if a contact's first name is unknown and you set 'customer' as the default value, 'Dear @firstname' automatically becomes 'Dear customer'.

Webshop and logs

Connecting your webshop

Connect your webshop to Xendy to automatically sync customer data, orders and products. Supported platforms:

  • WooCommerce
  • Magento 2
  • Shopify
  • Lightspeed

If you already have a connection, the overview shows when the data was last updated and how many customers, orders and products have been imported.

Logs

Under Logs you'll find an overview of all webhook requests. This lets you see exactly what has been sent or updated automatically via your integrations. Examples of log entries include adding a new contact to a list or updating an existing contact.

For each entry you can see:

  • The status of the request
  • The endpoint that was called
  • The date and time of execution

Click on an entry to view the payload and see exactly what data was sent.

Frequently asked questions

You can request those via support@xendy.me.

You can continue using Xendy until the end of your current subscription period. After that, your subscription will automatically stop and you will no longer be able to send emails.

If you don't fill in a default value for a dynamic field and a contact has no value for that field, the email won't be sent to that contact.
