Where do you find Manage database?

Go to Settings in the left menu and click Manage database. The page has three tabs: Contact fields, Product fields and Order fields. Per tab you'll see two sections:

  • Xendy fields: the fixed fields that Xendy uses, with for each field the column from your database that fills it (columns Xendy field and Your column). Fields with the Required badge are needed by Xendy to be able to send emails and calculate revenue; fields with Recommended are not required, but they allow Xendy to do more for you.
  • Other fields: all remaining fields (columns Field and Field type). You can use these freely to filter audiences and to display values in your emails.

Linking and unlinking fields

In the Xendy fields section, you determine which column from your database fills each Xendy field. This ensures that imported data ends up in the right place.

Linking a field:

  1. Go to Settings > Manage database and open the correct tab.
  2. For the Xendy field in the Your column column, select the column that should fill the field.

A green checkmark next to a field means it is linked; a warning icon means it has not been linked yet.

Unlinking a field: Select the Not linked option in the Your column column. Existing contact data will be retained. Please note:

  • Required fields can be linked to a different column, but cannot be cleared.
  • Fields with a lock icon are managed by your import connection (such as your webshop); any changes will automatically be reverted on the next import.

Changing field types and creating custom fields

Change field type:

  1. Go to Settings > Manage database and find the field under Other fields.
  2. In the Field type column, choose the desired type: Text (default), Date, Number without decimals or Number with decimals. The change is saved immediately.

Create a new contact field:

  1. On the Contact fields tab, click New field.
  2. In the Create new contact field modal, enter a Field name.
  3. Under Field type, choose Choose a field type yourself, or Link to a Xendy field if the field should populate a Xendy field.
  4. Click Create field.

New fields are then available for segmentation and personalization in your emails. Creating custom fields is only possible for contact fields.

Deleting fields

Fields under Other fields can be permanently deleted. Please note: deleting a field also erases all data stored in that column for all your contacts. This cannot be undone.

  1. Go to Settings > Manage database and find the field under Other fields.
  2. Click the trash icon next to the field and confirm the action.

Not every field can be deleted:

  • Xendy fields cannot be deleted; you unlink them via Not linked (except required fields, which cannot be cleared).
  • Fields with a padlock icon were created by your import integration (such as your webshop). These cannot be deleted: the next import will automatically restore them. You can, however, change the field type.

Frequently asked questions

All data in that field is permanently deleted for all your contacts. This can't be undone. So make sure you no longer need the data before deleting a field.

No. Only fields under Other fields without a lock icon can be deleted. Fields with a lock icon are managed by your import connection (such as your webshop): the delete option is missing for those, and the next import would automatically restore such a field anyway. You don't delete Xendy fields; you unlink them via Not linked (except for required fields).

Custom fields are available for segmentation and for personalization in your emails right after you create them. Type @ in the email editor to open a list of available fields and select the one you want.
