View and manage all contacts

You manage your contacts via All contacts in the left menu. Here you'll find an overview of all contacts within your organization.

Useful options at the top:

  • Search contacts: use the search bar to search by first name, last name, or email address.
  • Select a segment: click All contacts in the top right to create a segment or navigate to one.
  • Add contacts: click Add contacts in the top right for all options to add contacts. After uploading contacts, the import starts in the background and you'll see the message 'The import has started!' with a note that your contacts are being imported in the background. You can track the progress in the sidebar and continue working as usual. The number of active contacts in the sidebar is updated in real time during an ongoing import.
  • Export contacts: click Export in the top right to download all your contacts as a CSV file. While exporting, the button changes to 'Exporting...' and is temporarily disabled. The file is named contacts-export-YYYY-MM-DD.csv, uses a UTF-8 BOM (so Excel opens it correctly) and a semicolon (;) as the delimiter. The columns are: id, is_enabled, is_disabled_reason, is_disabled_extra_info, and all imported contact fields. If something goes wrong, you'll see the message: 'An error occurred while exporting the contacts'. The export button is only visible in the All contacts view, not when you have a specific segment selected.

Possible contact statuses:

  • Active: the contact receives emails from Xendy.
  • Unsubscribed: the contact has unsubscribed and no longer receives emails.
  • Bounced: an email to this address could not be delivered (hard or soft bounce). From the very first bounce, Xendy immediately excludes the contact from further emails.
  • Complaint: the contact has marked an email as spam and no longer receives emails.
  • Excluded: the contact is on a blocklist, manually blocked, or automatically blocked via filter rules.

For each contact you can also see the number of emails received, the creation date, and (when an active webshop integration is connected) the total revenue.

View and edit an individual contact

Click on a contact to open a sidebar with all known details, including:

  • Basic details (email, first name, last name)
  • Segments the contact appears in
  • Status, creation date, number of emails received, and revenue
  • Extra fields
  • Overview of received emails, including whether they were opened or clicked
  • Per audience, an explanation of why the contact does or does not match the filter rules (SegmentMatchExplanation)

Editing details: click Edit (pencil icon) at the top of the sidebar, adjust the desired fields, and click Save.

Unsubscribe or delete a contact

Unsubscribe:

  1. Go to All contacts and find the contact using the search bar.
  2. Click the 3 dots to the right of the contact.
  3. Choose Unsubscribe.

The status changes to 'Unsubscribed' and the contact will no longer receive emails.

Delete:

  1. Go to All contacts and find the contact using the search bar.
  2. Click the 3 dots to the right of the contact.
  3. Choose Delete and confirm the action.

Heads up: using a webshop integration? Then make sure to also delete the contact in the webshop. If you don't, the contact will be re-imported the next time an import runs.

Create and manage segments

Segments are subsets of your total contact list. Good segmentation lets you send more relevant emails, which increases open and click rates and reduces unsubscribes.

Xendy has two types of segments:

Static segment Contains contacts you explicitly add, for example via a file upload (.xls or .csv) or a webhook. The list only changes when you change it.

Dynamic segment Automatically updated based on filter rules you set. Only contacts that meet the rules are included in this segment.

Creating a segment:

  1. Go to All contacts in the left menu.
  2. Click All contacts in the top right.
  3. Choose Create a segment (or Create another segment).
  4. Select Manual (static segment) or Dynamic and click Next.
  5. Give your segment a title and click Create segment.

Viewing and managing segments: On the segments page you'll find three tabs: All, Without email automation and With email automation. This gives you an instant overview of which segments are already linked to an automation and which are not. The number in the sidebar next to "Segments" shows the total number of segments, regardless of whether they are linked to an automation.

When you select a segment somewhere, for example when creating an email automation, the segments are displayed in groups: first the segments without email automation, then the segments with email automation.
