Creating a welcome automation

  1. In the left menu, go to Email automations and click New automation in the top right.
  2. Choose From a new segment.
  3. Choose the segment type:
    • Manual (static segment) → for a welcome email for new newsletter sign-ups, which you add to the segment via a webhook or upload, for example.
    • Dynamic → for a welcome email after a first purchase, based on filter rules.
  4. Give the segment a clear name, such as Welcome after sign-up or Welcome after first order, and click Create segment.
  5. Choose the send type and click Create email automation:
    • For a manual (static) segment, choose Immediately: the email is sent as soon as someone is added to the segment.
    • For a dynamic segment, only Periodic is available: Xendy then checks daily who is new to the segment and sends the email at the scheduled time.

Adding emails to the workflow

After creating the automation, click Add step 1. You can choose from:

  • Blank email – create a completely new email without email blocks.
  • Choose template – copy an existing template from Templates in the left menu.
  • Choose draft – move an email from your drafts to this automation.

Use the plus and minus icons to set delays (in days) between the steps.

Commonly used pre-purchase structure:

  • Email 1 (immediately): thank for signing up and optionally provide a discount code.
  • Email 2 (1 day later): show popular products or categories.
  • Email 3 (3 days later): share a blog post or review.

Commonly used post-purchase structure:

  • Email 1 (without delay, sent with the next daily execution): thank for the purchase.
  • Email 2 (2 days later): provide tips or suggest additional products.
  • Email 3 (5 days later): ask for a review or introduce a loyalty program.

Activating and managing the automation

  • Open the automation and set the status to Active to start it. For a Direct automation, you choose whether you want to email only new contacts, or also the contacts already in the segment, and confirm with Start.
  • You can pause it by setting the status to Inactive.
  • The settings (such as the Revenue attribution) can only be changed when the automation is not active.

Viewing statistics

Go to Email automations in the left menu and click on the desired automation to open it. For each step you will see the following statistics:

QueueNumber of scheduled emails that are yet to be sent (e.g. due to a configured delay).
SentTotal number of emails sent.
OpenedNumber of unique recipients who have opened the email.
ClickedNumber of clicks on a link within the email.

Frequently asked questions
