What are email automations?

Email automations are workflows you set up once and that then send emails independently. An automation is always linked to one segment and has two sending types:

  • Periodic: Xendy checks daily which contacts fall within the segment and sends the steps at a time you set.
  • Direct: the email is sent immediately as soon as a contact is added to the segment (only possible with static segments).

The main advantages over regular newsletters:

  • Efficiency: automate emails you would normally send manually.
  • Personalization: you send the email at the moment it is most relevant to the recipient.
  • Scalability: Xendy tracks daily who needs to be emailed, without any manual actions.

Viewing and managing all email automations

Go to Email automations in the left menu. Here you'll find an overview of all automations within your organization. For each automation, you can see the following details:

  • Status indicator: green = active, grey = inactive.
  • Name: the name of the segment the automation is linked to.
  • Last run: when Xendy last checked which contacts fall within the segment.
  • Next: when Xendy will check this again (only for active, recurring automations).
  • Sent: the total number of emails sent from this automation.
  • Queue: the number of emails scheduled for the coming days.
  • Revenue: the revenue this automation has generated for your webshop.

Stopping or deleting an automation: Click on the automation to open it and set the status to Inactive; no further emails will be sent. It's not possible to delete an automation on its own: if you delete the linked segment (via Delete segment on the segment page), the automation will also be stopped and deleted. This is only possible when the automation is not active.

Creating an email automation from a new segment

  1. In the left menu, go to Email automations and click New automation in the top right.
  2. Choose From a new segment.
  3. Choose the segment type and click Next:
    • Manual (static segment): contains contacts you explicitly add via a file upload or webhook.
    • Dynamic: automatically updated based on filter rules. Only contacts that meet the rules are included in this segment.
  4. Give the segment a title and click Create segment.
  5. Choose the send type and click Create email automation:
    • Direct: Xendy sends the email immediately once a contact is added to the segment. Only available for a manual (static) segment.
    • Periodic: Xendy checks daily which contacts are in the segment and sends them the steps at the chosen time.
  6. Click Add step 1 and choose one of the following options:
    • Empty email: a blank email without any blocks, fully customizable to your liking.
    • Choose template: copy an existing template and customize it.
    • Choose draft: use an email that is already listed under Drafts.
  7. Repeat step 6 to add multiple steps to the automation.

Creating an email automation from an existing segment

  1. Go to Email automations in the left menu and click New automation in the top right.
  2. Choose From an existing segment.
  3. Select the segment you want to link the automation to and click Create automation. You will only see segments that don't have an automation yet: a segment can be linked to a maximum of one automation. Block lists cannot be selected.
  4. Choose the sending type and click Create email automation:
    • Direct: Xendy sends the email immediately as soon as a contact is added to the segment. Only possible with a static segment.
    • Periodic: Xendy checks daily which contacts are in the segment and sends them the steps at the chosen time.
  5. Click Add step 1 and choose one of the following options:
    • Blank email: a blank email without blocks, completely customizable to your own preferences.
    • Choose template: copy an existing template and customize it.
    • Choose draft: use an email that is already listed under Drafts.
  6. Repeat step 5 to add multiple steps to the automation.
