Creating a new email

Click 'New email' in the top left. A pop-up will appear with two options:

  • Blank email: build your email from a completely blank canvas.
  • Template: choose a previously saved template that gets copied to your new email.

Then set up the basic settings:

  • Sender name: the name the recipient sees, for example 'John from CompanyName' or 'Team CompanyName'.
  • Sender email: the email address you're sending from. The domain name is fixed; you only fill in the part before the @ sign.
  • Subject: the subject line recipients see first. Keep it between 40 and 60 characters.
  • Preheader: the short text next to or below the subject line. Use between 40 and 100 characters.

Click 'Create draft' to create the email. You can find all your drafts in the left menu under 'Drafts'.

Duplicating emails

Duplicating a sent email

  1. Go to 'Sent' in the left menu.
  2. Click the '3 dots' on the right of the email you want.
  3. Choose 'Duplicate to draft'.

The email will now appear under 'Drafts', where you can edit and send it.

Duplicating a draft email

  1. Go to 'Drafts' in the left menu.
  2. Click the '3 dots' on the right of the draft you want.
  3. Choose 'Duplicate'.

The email will now appear as a new draft under 'Drafts'.

Editing an email in the email editor

Open the email you want to edit via 'Drafts', 'Templates', or through a step in an email automation. You'll then see the email editor.

Click one of the purple plus icons on the left to add a new row. A pop-up opens with ready-made email blocks, organized into categories (such as Buttons, Content, Images, and Products), plus your own saved blocks under 'My blocks'. If you want to add a standalone element within a row, click the plus button inside the row itself; use the 'What do you want to add?' menu to choose one of the standard email blocks.

In the email editor, you can enable or disable 'Auto save' using the toggle switch. This lets you decide whether changes are saved automatically. A desktop/mobile preview toggle is also available, so you can instantly see how your email looks on different screen sizes. The preview now behaves identically to the actually sent email: the same font including fallbacks, the link color follows the link style you've set, and the responsive breakpoints come from the builder settings.

Editing campaign texts

At the bottom of the canvas there are three campaign texts: the "View in browser" text, the footer text, and the unsubscribe link text. Click on any of these texts to edit it. The standard builder sidebar then opens a panel with the following options:

  • Text editor with inline formatting: you can make selected pieces of text bold or italic, or apply a color highlight. Headings, lists, and links are not available here.
  • Text size for the entire text.
  • Text color for the entire text, with the option to use the campaign's theme color.
  • Padding (top, right, bottom, and left) — this is not available for the unsubscribe link text, as it appears inline in the footer.

Changes are immediately visible on the canvas as a live preview. Save your changes using the Save button in the panel. If you close the panel without saving, the changes are discarded and the canvas reverts to the previously saved value.

Please note that selecting a campaign text and selecting a building block are mutually exclusive: clicking a campaign text deselects any selected building block, and vice versa.

When saving, Xendy checks the content. You'll see an error message if:

  • the text is empty: "This text cannot be empty."
  • the text is too long: "This text is too long. Shorten the text to be able to save."
  • a style setting is invalid (for example, an invalid color format): "One or more settings are invalid. Check the text size and color."

Dragging rows, columns, and elements

You can adjust the structure of your email by dragging components:

  • Dragging rows: use the drag handle in the row toolbar (tooltip: "Move block") to drag a row to a different position.
  • Dragging columns: in rows with multiple columns, hovering over a column reveals a drag handle in the top-left corner of that column. Use it to reorder columns horizontally within the same row. This only works in desktop view and only if the row contains more than one column.
  • Dragging elements: each element in a column has a drag handle in the top-left corner (tooltip: "Move element"), visible on hover. You can drag an element to a different position within the same column or to a different column. The target column gets a blue outline as visual feedback.

While dragging, you'll see a compact preview badge indicating what you're dragging: for an element it shows the icon and name of the block type, for a column it says "Column," and for a row it says "Row." The original item remains dimmed in its position until you release it.

To cancel dragging, press Escape or release the item outside the builder. The original order will be restored. A regular click on a drag handle does not start a drag action; you need to move at least 5 pixels before dragging begins.

Standard email blocks:

  • Text: add paragraphs or headings (H1, H2, H3). Adjust font, size, line height, and color in the sidebar. The chosen text color is only visible in the preview, not in the editing field itself.
  • Image: upload your own images or choose from your previously uploaded images. Set a link and dimensions (percentage or pixels).
  • Button: create clickable calls-to-action. Customize text, link, font, colors, padding, and border radius. Non-numeric input in the border radius field is ignored; when you leave the field, the value is automatically clamped to the allowed minimum or maximum.
  • Youtube: paste a YouTube link; Xendy automatically displays a preview with a play button. Clicking sends the recipient to YouTube.
  • Social media: add icons for your channels. 11 platforms are available, including Email address, Website, and Phone number (Twitter is called X here). You can reorder the icons as you like. Links are set account-wide via Settings → Social media.
  • Divider: add a dividing line between sections. Adjust the height.

Email blocks for webshops:

With an active webshop connection (WooCommerce, Shopify, Lightspeed, Magento 2, or custom) additional blocks are available:

  • Product: insert products with images, names, prices, and links from your webshop.
  • Contact's shopping cart: display the contact's abandoned items and add a button to the shopping cart.

Please note: if no products are available (e.g. an empty shopping cart), the email will not be sent to that contact.

Email theme settings

In the email settings, you set the look and feel of your emails, such as:

  • The style of buttons
  • The font
  • A fallback when a customer's first name isn't available

This makes sure every email matches your brand identity and saves you a ton of time. You can find more info in the separate article about 'Email settings'.

Templates and template blocks

With email templates you create an email in your brand style once, and then use it as a starting point for new emails.

With template blocks you save frequently used sections and easily insert them via the purple plus icons in the email editor.
